Commercial HVAC service and maintenance in Vilnius
For tenants, building owners and facility managers in Vilnius business centres – a clear maintenance plan that shows what is serviced and when. We coordinate the work from our office at Gudelių g. 9.
Vilnius has many modern business centres, administrative and mixed-use buildings where the climate system serves dozens of different tenants. In such a building, maintenance becomes an organisational question as much as a technical one: who is responsible for the shared City Multi system, who for a tenant's own air conditioner, and who orders filter changes for the heat recovery units. At our Vilnius office at Gudelių g. 9 we help turn this into a clear maintenance plan.
Tenant, owner or facility manager: who is responsible for what
At the first meeting we establish which equipment belongs to the building and which to tenants, and how this is set out in lease or facility management agreements. Building owners and facility managers usually care about the shared systems – City Multi outdoor units, Lossnay ventilation and central controls. Tenants care about indoor units in their premises, the server room air conditioner or additional equipment. We can prepare a separate scope of work and separate reports for each party, so nothing falls through the gaps and nothing is done twice.
What a maintenance plan can include
- Indoor units on office floors – filter and coil condition, cleaning or replacement in line with the manufacturer's recommendations, scheduled around the tenant.
- Condensate removal – pipe falls, drain trays and condensate pumps checked so moisture never reaches ceilings or office equipment.
- Central controls – City Multi controllers, zone schedules and MELCloud settings reviewed, logged fault codes analysed.
- Rooftop and terrace plant – casings, fans, coils and supporting frames inspected.
- Refrigerant circuit – any work involving refrigerant and pressure measurements is done only by our qualified technicians.
- Report for the building manager – what was done, what we noticed and which actions we recommend.
Logistics in central Vilnius
In the Old Town, the city centre and business districts, access is often the limiting factor: vehicle entry permits, loading zones, roof access rules and working hours agreed with building management. We discuss these points in advance and build them into the visit schedule, and where needed we plan noisy work in offices outside business hours.
Equipment passports, reports and call-outs
Every unit we maintain gets a passport in the EKO2 portal: model, location, service history and notes. A facility manager or tenant sees only their own equipment and reports. Alongside scheduled visits, a plan can include call-outs when something fails; response and commercial terms are agreed individually, depending on how critical the site is.
When tenants change
Premises in business centres are refitted often: tenants move, partitions are rebuilt, new meeting rooms or server rooms appear. At such moments the climate system needs to be adapted to the new layout rather than simply left as it was. When we maintain a building continuously, we have an up-to-date equipment list and can assess more quickly whether relocating indoor units and changing control settings is enough or the system needs extending. We agree such changes with the facility manager and record them in the equipment passports.

FAQ
Can you set up separate contracts for the building owner and a tenant?
Yes. The scope can be split by equipment ownership, and each party sees its own reports and equipment passports in the EKO2 portal.
Do you maintain City Multi systems in business centres?
Yes, we maintain City Multi VRF systems: outdoor and indoor units, drainage, central controls and error logs. Refrigerant work is done only by qualified technicians.
Can work be done outside business hours?
It can be planned. We agree the timing with building management and tenants in advance.
What are the response terms in case of a fault?
Response terms are agreed individually, based on how critical the site is and the amount of equipment, and written into the maintenance agreement.
